The Snoofa Clerking Screen

This document is a comprehensive explanation of the Snoofa Live Clerking screen for use when during live auctions and how to use it.

Accessing the Clerking Screen

On the global dashboard, click Auctions on the main menu on the left.

Select the auction you are interested in by clicking on the row. The auction should have a red icon next to it to indicate it being in progress.

You can use the search filters above to help you find the auction.

On the auction dashboard, click the green Launch DAR button.

Do not click the Clerking or Clerk Auction buttons; these are different functions from the live bidding clerking screen.

When you’ve clicked Launch DAR, a pop-up will appear. Select Clerk screen.

This will open the main clerking screen. The orange Start Auction button can be clicked when the first lot is ready to be offered.

The Launch DAR pop-up will also allow you to set up the other auction screens, such as the Room screen, Auctioneer screen and the Stream control page for the live video feed.

Using the Clerking Screen

The bid log for the current lot is on the right-hand side of the screen.

When an online bid is placed, it will appear in red.

An absentee bid will appear in blue.

You can have audio notifications when an online bid is placed. To do this click the Unmute button on the top right-hand side.

You will hear a ‘ping’ noice. This tends to work better when remote clerking rather than in a live auction room.

To record a bid, click the Bid button in the centre of the screen.

If the auctioneer would like to prioritise a room bid over an online bid, click the Room button.

The Fair warning button can be clicked to give the bidder a grey fair warning message.

When the Fair warning button has been clicked, it will transform into Once. This can be clicked again to give the bidder a yellow Going Once! warning message.

When the Once button has been clicked, it will transform into Twice. Click this again to give the bidder a red Going Twice! warning message.

Finally this button will change to Sell. This can then be clicked as an alternative to the sell icon at the top of the screen.

This icon is the main Sell button to click when lot has been sold.

If the highest bid is not either an online or absentee bid (i.e. the system doesn’t already have the paddle number recorded), a pop-up window appears to record the winning paddle number.

This can be skipped. If not, enter the number and then click either Save & Next (to move straight to the next lot) or Save, which will not automatically move to the next lot (the Next button on the main screen will need to be clicked to move on.

If the lot is unsold, click the Pass button.

To undo a bid, click the Undo button.

If you need to reset all the bidding for a lot, you can do this by clicking the Reset button.

Note: this will not remove any absentee bids.

These are the increment tables.

They can be used if the bidding activity is moving quickly and you need to catch up by skipping several increments ahead, or the manual increment table on the right can be used if the bidding deviates from the set increments. Simply clicking once on a number in the tables will record the value.

If you click the manual increment tickbox, the bidding will go up in the amount selected on the increment table e.g. if 30 is selected, clicking the main ‘bid’ button will increase the bid amount by £30.

The orange plus and minus buttons allow you to add or remove an increment amount from the manual increment table.

You can also record the current bid by typing in the H field, similarly if you want to set the asking price differently, you can type this in the A field.

It is possible to sell a lot ‘provisionally’, by clicking the provisional tickbox when recording a bid. The lot will be marked as ‘pending’ on the catalogue instead of ‘sold’ and this allows the deal to be finalised afterwards.

When the auction is done, click the End auction button to close the session.

Messaging ️

If for any reason the auction needs to be paused, there is a Pause button at the top right-hand side of the screen.

A pop-up window will then appear to specify the details of the pause. This will appear on the Room screen for bidders online and on the bidding screen online.

You can specify the time and date of the end of the pause.

There are different icons available depending on the nature of the pause.

You can also write a message to communicate to bidders.

This is how your message will appear on the room screen.

On the left-hand side of the screen is the messaging component.

This can be used to communicate with bidders on the website. It is a good idea to pre-load some messages in before the auction starts, by typing and clicking Add, so they are ready to go when needed.

To send a message, click on it and then click either Send or Alert.

This is how message will appear when sent as an alert. A pop-up window will appear and the user must click OK to acknowledge they have read the message before being able to place any more bids.

It is recommended to use this type of message sparingly, only when it is critical that the users read them. When used too often, it can be an irritant for bidders and provide a barrier to bidding

When the Send button is clicked, the message will appear in a yellow banner beneath the bidding buttons.

These can be used as much as desired and will expire when the next lot is opened.

If there is an issue, you can report it to the Snoofa development team to investigate by clicking on the Report issue button. As much detail as possible about the issue will help us to identify the problem.

Obviously if there is a major issue that is affecting the auction, the Snoofa team can be contacted by phone.

Navigation

You can use the Previous and Next buttons to navigate backwards and forwards in the catalogue. There is no limit of how many lots back or forward you can move this way.

If the current lot is not yet resolved, you will see this warning message when using the Previous and Next buttons. You can choose to Pass the current lot, Sell it, or Move Anyway, leaving the lot unresolved.

At the bottom of the screen is the auction catalogue.

This area can be used to see the results of the lots so far, see the lots that are upcoming and to see winning bidders.

The catalogue can be filtered by lots that as waiting to be offered, sold to unsold.

You can also search for specific lot numbers.

There is a progress bar to track how far through the auction is.

Click the Bidders tab to view a list of the bidders in the auction.

You can hover over any lot in the catalogue and click the Offer button to offer it for sale. This can even be done for sold and unsold lots.
