Items - Adding & Editing
A wise man once said, Items are not Lots, Lots are not Items. But an Item can have Lots, like a mother can have children. Therefore a Lot must have an Item, like a child must have a mother.
Understanding that, can help avoid confusion & is worth getting to grips with, to help you with your use of Snoofa. This article as a whole will help you understand how to add new & edit existing Items.

Items Datagrid & Filter
How-To Add Items
We start logged in & click on Items within the Main Navigation menu. The Datagrid lists you all existing Items, & the filter allows you to narrow down or even directly find an individual Item, dependent on just how much information you have to find it. So lets start with creating a new Item.
Top right, as with many of the Snoofa System pages, you find the big orange button, in this case the Add New Item button. Clicking it brings up the Add New Item form, & its fields to complete.
Item Form Fields
Form Field | Explanation |
---|---|
Category* | Required, Category is populated by adding new Categories within Item Categories, within System Settings. Typical auction Categories might be: Paintings, Furniture, Jewellery & Books. |
Title* | Also required & very much the headline of the Item & any Lots it produces. |
Subtitle | Opportunity for a short, sub headline for the Item. |
Tags | A useful tool, that is only as limited as imagination. E.g. Filtering for search, to leaving instructions. |
Sale Room Notice | Optional information, displayed within the catalogue, on Lots, within a notice box. |
External Reference | Shown on Client facing paperwork, & optional. |
Description | The full description for an Item & its Lots. You have have the option to format this text, such as Italic, Bold, & add images, & links. |
Details | Another optional section, Details if added displays along with Measurements, Auction Date, Estimate, & Starting Bid. Below the Lot Title & Subtitle. Note: This section only works in unison with Item Categories, within System Settings. |
Measurements | Displays along with Details, Auction date, etc, as a pop-up box. Note: This section only works in unison with Item Categories, within System Settings. |
Low & High Estimate | Optional, but when given, displays along with Details, Measurements, etc. |
Reserve Price* & Starting Bid* | Required, & needed by the system. |
Vendor Commission, VAT Scheme, & Import Fee | These are what their names suggest, how much the Vendors commission is, which VAT Scheme applies & how much are any Import Fees. |
CITES, LDL (Loss & Damage Liability), & Antique | CITES enables marking of any requirements, e.g. Typing in "Ebony" to flag up the Item is made of it, which will trigger the CITES logo to display, informing buyers of rules on regulated materials, etc. Should LDL be charged for, yes or no? Antique, flags up to staff if the Item is 100 years plus, very useful for export documentation. |
Number of Labels, Quantity, & Discretionary Reserve | Number of Labels is what it suggests, how many you need to print. Quantity is generally for single Items that may have more than 1 part, such as a tea pot & its lid. Giving opportunity to list on paperwork, how many parts an Item should contain. Lastly, Discretionary Reserve is to say if there is one & how much. |
Items Add New Item Form
Advanced Adding & Editing
Your basic Item has been created, but there is more. Your Item might have some other things Sold With it, & that is exactly what the Sold With section is for. What you enter will appear on the Lots your Item spawns & its paperwork.

Also with a tick of the Specialist On Lot Page box, you have the ability to show a bio of a relevant specialist/expert on the Lot online. These bios can be created & edited within the Users area, of System Settings.
A tick the Sensitive Item box, will allow you to stop the hammer price being shown online, once sold. Drop downs give the ability to change the VAT Rates associated with the Item. A Condition Report for showing online, for the Item can be created.
This brings us to the rest of the form, which brings Images, YouTube, Charges & More.

Form Field | Explanation |
---|---|
Add to Auction: Add as A-Lot or Sold For | This box changes, before being sold it allows the Item to be added to an Upcoming Auction as an A-Lot. The purpose of this is to allow last minute entries to a sale, without messing with the already established Lot Numbering. Once sold. it shows you how much, which sale, who to, & links to the Invoice & Settlement paperwork. |
Images: File Manager | Put simply, this gives you the ability to add & delete images related to your Item. |
Youtube videos: Link & Description | YouTube, you might have a video for your Item & this gives you an easy way to link to & show it off within the Lots image gallery. Please note: this works for Timed Auctions only. |
Consignment | A little information & a link to the Consignment page, as well as the Vendors information. |
Lots | A summary of any Lot history for the Item, including links & potential delete. |
Charges | Vendor & Buyer charges associated with the Item & the ability to add or delete them. |
Notes | Handy internal Notes system, to remind yourself or inform your colleagues of information related to the Item. |
